Data, Ethics, and Innovation: Inside MOTIVATE XR’s IPR and Data Management Plan

As immersive technologies reshape the way we work, learn, and collaborate, ensuring responsible data handling and intellectual property protection becomes a foundation for trust and innovation. That’s why the MOTIVATE XR project has prioritised a strong, transparent approach to managing data and safeguarding intellectual assets. 

From co-created design insights to AI-powered XR tools, the project will generate and process diverse datasets that are critical to its mission, developing a no-code XR platform for industrial training, operations, and support across five industrial pilots.  In parallel, the project will produce numerous research outputs, including software, workflows, protocols, and models. Managing this diversity of data and outputs presents considerable complexity, requiring coordinated efforts across the consortium to ensure that consistent and robust data management practices are applied throughout. 

Given the cutting-edge technologies of MOTIVATE XR, the resulting datasets and research outputs are anticipated to hold significant value for both project partners and the broader research community in the domains of XR and AI. In recognition of this, the MOTIVATE XR consortium is deeply committed to Open Science principles, making research outputs as open as possible, while protecting what must remain private. This includes: 

  • Publishing in open-access repositories like Zenodo 
  • Complying with FAIR data principles (Findable, Accessible, Interoperable, Reusable) 
  • Sharing results with the public, industry, and scientific community.

However, this commitment to openness is balanced by a strong sense of responsibility. A key priority is the protection of Intellectual Property Rights (IPR) among consortium partners. Equally important is the ethical and legal management of personal data, particularly in use cases involving human participants, where only basic demographic and professional information will be collected. The project adheres strictly to the General Data Protection Regulation (GDPR) 2016/679 and all relevant national laws to uphold privacy and data protection standards.  

Data Security & Ethics

Robust protocols are in place to ensure data integrity, confidentiality, and non-repudiation. Personal data is anonymised and encrypted, with processing activities conducted solely under informed consent, and in full alignment with ethical and legal standards. 

IPR Management

A clearly defined ownership structure ensures transparency and fairness in the use and exploitation of results. Jointly generated intellectual property is governed through tailored agreements that support effective exploitation and long-term commercialisation strategies. 

Sustainable Access

All eligible research outputs will be made accessible via trusted open repositories, accompanied by metadata, Digital Object Identifiers (DOIs), and appropriate licensing (e.g., Creative Commons). This ensures traceability, visibility, and reusability, while upholding partners’ rights and compliance with EU policies.  

As MOTIVATE XR integrates XR and AI technologies in real-world industrial contexts, clarity in data governance and assets management is essential. Developing a comprehensive IPR and Data Management Plan from the outset ensures that the project can safeguard sensitive information, enable responsible data sharing, and support the sustainable exploitation of results as it progresses.
